Territory Assignment Records

JW Scheduler can help your congregation create, record and print Territory Assignment Records for all maps worked in your congregation territory.

To view and edit Territory Assignment Records, click Congregation > Territory Assignment Records

Territories

The Territory View shows a list of all Territories in your congregation, including when they were Last Checked Out, to which Publisher, and when they were Last Checked In.

You can Sort the Territories by Number, Date Out or Last Completed date. Simply click the column heading to sort.

You can also Filter the Territories by Publisher or Area. Simply select the desired Filter, and then the desired Data.

Territory Assignment Records History is kept for 3 years.

Add Territories

  1. Click Congregation > Territory Assignment Records
  2. Near Territory, click the Unlock icon
  3. Click New
  4. Set the Territory Number
    • Note: To be as flexible as possible, you can enter text as part of the “number”, e.g. A1, A2, A3. This also means the Territory Numbers will be sorted as text, so please append “0” in front of single digit maps, e.g. 01, 02, 03.
  5. Optionally, set an Area for this Territory.
  6. Optionally, enter a Link for the territory
    • Note: This link will be shown on the JWS Publisher app and could be a Google Maps location
  7. Optionally, enter any Notes
  8. Optionally, add a Map. See Add a Map below.

Edit Territories

  1. Click Congregation > Territory Assignment Records
  2. Near Territory, click the Unlock icon
  3. In the Territory List, select the Territory you wish to edit
  4. Edit the territory

Delete Territories

  1. Click Congregation > Territory Assignment Records
  2. Near Territory, click the Unlock icon
  3. In the Territory List, select the Territory you wish to delete
  4. Click Delete
    • Note: This will also delete any History for that territory.

Create, Edit or Remove Areas

Add Map

Note: If you have enabled the JWS Publisher app, maps will be shown on Field Service Schedules and Territory Assignments.

  1. Click Congregation > Territory Assignment Records
  2. Near Territory, click the Unlock icon
  3. In the Territory List, select the Territory you wish to delete
  4. Under Map, click Add
  5. Select either a JPEG, PNG or PDF file on your computer
  6. Click OK
  7. Important: If the file size is 200KB or less, the map will be automatically added, otherwise the file must first be Compressed. JW Schedules does not support maps larger than 200KB.
    • For Image files: Select the appropriate Quality and click Compress and Save
    • For PDF files: You must manually compress the file then add again. See Common Questions > How to compress a PDF
  8. Once a map has been added, you will see a small thumbnail. Double-click to see the full-size map.

Open Map

  1. Click Congregation > Territory Assignment Records
  2. Near Territory, click the Unlock icon
  3. In the Territory List, select the Territory you wish to delete
  4. Under Map, double-click the image or PDF to open.

Remove Map

  1. Click Congregation > Territory Assignment Records
  2. Near Territory, click the Unlock icon
  3. In the Territory List, select the Territory you wish to delete
  4. Under Map, click Remove

Assign or Check Out Territories

  1. Click Congregation > Territory Assignment Records
  2. Under Territories List, select the Territory or Map you wish to Assign
  3. Select the Publisher you wish to Assign to
    • Note: All Active members who have a Privilege of UBP, Publisher, MS or Elder can be assigned territories.
  4. Set the Date you wish to make the Assignment
  5. Click Check Out
  • Note: If you have enabled the JWS Publisher app and the App Feature ‘Show Territory Assignments’, you should now click App > Send App Data

Return or Check In Territories

  1. Click Congregation > Territory Assignment Records
  2. Under Territories List, select the Territory or Map you wish to Return or Check In
  3. Set the Date you wish to Return or Check In
  4. Click Check In

When a publisher sends data back to the congregation, it is not automatically received by JW Scheduler. It must be manually imported by an elder into JW Scheduler. This is for security reasons and to comply with sfl.

Server data storage and usage is very expensive. We have selected a file size limit that balances functionality with cost.

Additionally, as the map files are designed to be viewed on mobile devices, a larger file size is not necessary.

There are many ways to compress a PDF, depending on how you created the PDF and what software you have. We recommend trying the following:

  1. Remove any graphics or pictures from the PDF
  2. Re-save the PDF with a lower quality setting
  3. Visit https://smallpdf.com/compress-pdf and compress the PDF
  4. Do a google search for “How to compress PDF”

Please carefully re-read either the Add, Edit or Delete Territory sections above.

To prevent accidental adding, editing or deleting, you must first click the Unlock icon before adding, editing or removing territories.
