Import or Export Field Service Data

JW Scheduler strongly believes your congregation and member data is your own, and you should be able to Import and Export your data as you wish. We also believe it is fair and right to allow data exchange between other scheduling programs.

Therefore, JW Scheduler supports Importing and Exporting Field Service data into several common file formats.

Important Notes - Please read first

  • JW Scheduler believes your congregation and person data is your own, and you should be able to Import and Export your data as you wish. We also believe that as true Christians, it is both reasonable and right to allow data exchange between other JW scheduling programs. For this reason, JW Scheduler supports Importing and Exporting data into a variety of common file formats. Unfortunately, not all software companies agree with us and some make great efforts to stop people changing software. It can sometimes be difficult to export your data from other software programs, but we will try our best to help you.
  • If you have not yet created a JW Scheduler Congregation, or have just started using JW Scheduler, PLEASE DO NOT USE THESE INSTRUCTIONS. Instead, please see Import Congregation from Majestic KHS. These instructions are only for importing Field Service data into an existing JW Scheduler Congregation.
  • Please do not enable Congregation Sharing until after all Importing has been fully completed. If Congregation Sharing is already enabled, it is best to disable before importing.
  • If the First name and Last name exactly match an existing person, the person will be merged with the imported Field Service data.

Import Field Service data from CSV

JW Scheduler can import field service data from a CSV (comma separated value) file. This allows you to use import data from lots of sources, such as Excel Spreadsheet, into JW Scheduler.

You can only import one month at a time. Importing Field Service data will overwrite any existing data found for the imported member in that month.

  • Note: CSV files must be in the format listed below. You cannot import random CSV files into JW Scheduler.
  1. Prepare the CSV file:
    1. Ensure your CSV file is comma delimited
    2. Ensure your CSV file includes a HEADER row which describes the fields
    3. Ensure your CSV file is saved with the extension .csv
    4. Ensure your CSV file only contains Supported CSV Fields below, and they exactly match the names below.
  2. Click Congregation > Congregation Field Service Report
  3. Select the correct month you wish to import data for
  4. Click Publishers
  5. Click Import and confirm your choice
  6. Locate your CSV file and click Open
  7. Your Field Service data will now be imported
    • Note: You will then be asked to save the Import Log file. Please save and check the log for any errors.

Field Service Data CSV Format

When importing Field Service data in CSV format, the follow fields are required and must exactly match an existing member in JW Scheduler:

  • Name, OR
  • FirstName and LastName

The follow fields are optional and describe the field service data for that member, for the selected month:

  • Placements – number
  • Videos – number
  • Hours – number (may include decimal points)
  • ReturnVisits (number)
  • BibleStudies (number)
  • Credit (number)
  • AP (true or false)
  • Remarks (text)

No other CSV fields are supported.

Problems Importing CSV files

If you have problems Importing from CSV:

  1. Ensure your CSV file is comma delimited
  2. Ensure your CSV file includes a HEADER row which describes the fields
  3. Ensure your CSV file is saved with the extension .csv
  4. Ensure your CSV file only contains Supported CSV Fields
  5. If you have done all of the above and still have problems, please Contact Us for assistance. Please include a copy of the CSV file and screenshots of the steps you are performing, and any errors.

Export Field Service Data to CSV

  1. Click Congregation > Congregation Field Service Report
  2. Select the correct month you wish to export data for
  3. Click Publishers
  4. Set the Group and Filter to show only the members you wish to export
  5. Click Export
  6. Select the folder and filename you wish to save as.
  7. Click OK
