Import Export Public Speakers

JW Scheduler strongly believes your congregation and member data is your own, and you should be able to Import and Export your data as you wish. We also believe that as true Christians, it is both reasonable and right to allow data exchange between other JW scheduling programs.

Therefore, JW Scheduler supports Importing and Exporting Public Speakers into a variety of common file formats.

  • Note: Public Speaker Sharing can automatically share and synchronise all Public Speakers in the whole circuit.

Import Public Speakers

  • Note: If you have not yet created a JW Scheduler Congregation, please see Create a Congregation or Import a Congregation. The following information is only for importing Public Speakers into an existing JW Scheduler Congregation.
JW Scheduler Import Public Speakers from Majestic KHS or CSV file

From another Congregation using JW Scheduler

  1. Ask the other congregation to Export their Public Speakers as a JW Scheduler file. (See Export Public Speakers heading below)
  2. Click Congregation > Neighbor Congregations and Public Speakers
  3. Click Import
  4. Click from JW Scheduler file
  5. Locate the file on your computer, and click Open
  6. The Public Speakers will then be imported.

From another Congregation not using JW Scheduler

At this time, JW Scheduler supports importing Public Speakers from:

  • Majestic KHS
  • CSV File

Import Public Speakers from Majestic KHS

Please ensure you are using JW Scheduler version 4.9.0 #1126 or greater, otherwise please re-download from our website.

Important: If the First name and Last name exactly match an existing public speaker, the public speaker will be merged. Otherwise a new public speaker will be created.

Export from KHS

  • Note: These steps should be performed by the other congregation who is sending you their Public Speaker data.
  1. Update KHS to version 16.40.1 or greater
  2. Open KHS > click Data Exchange > select Export to CSV > click Continue
  3. Tick Public Talks > click Continue > click Yes
  4. Select a Folder on your computer to save the files to (e.g. Documents\KHS Export) > click OK

  1. KHS will then close and re-open. You can now close KHS
  2. Open File Explorer
  3. Locate and Send (perhaps by jwpub email) only the following 4 files to the other congregation:
    • congregations.CSV
    • day_times.CSV
    • speakers.CSV
    • speaker_outlines.CSV

Import into JW Scheduler

  • Note: These steps should be performed by you, after you receive the other congregations Public Speaker data.
  1. Open JW Scheduler
  2. Create a Backup of your Data
    • Note: See Backup All your Data
  3. Receive and Save the above 4 files to a Folder on your computer (e.g. Documents\KHS Import)
  4. Click Congregation > Neighbor Congregations and Public Speakers
  5. Click Import
  6. Under From another Congregation not using JW Scheduler, click from Majestic KHS
    • Note: DO NOT click Import from CSV! Click Import from Majestic KHS!
  7. Click Import

  1. Select the Folder where you saved the received data in Step 3 above.
    • Note: You need to only select the Folder, not the files. No files will shown.
  2. Click Select Folder

  1. Select which Congregations and Public Speakers you want to Import > click OK
  2. The data will now import
  3. Once the Import is completed, carefully check the Import Log
  4. If there are any major problems, see Import Problems
  5. Open File Explorer and delete all the KHS CSV files

Import Public Speakers from CSV File

  1. Ensure your CSV file is comma delimited
  2. Ensure your CSV file includes a HEADER row which describes the fields
  3. Ensure your CSV file is saved with the extension .csv
  4. Ensure your CSV file only contains Supported CSV Fields below
  5. Click Congregation > Neighbor Congregations and Public Speakers
  6. Create or Select the existing Neighbor Congregation the speakers should be imported into
  7. Click Import
  8. Click from CSV file
  9. Locate the file on your computer, and click Open
  10. The Public Speakers will then be imported into the selected congregation

CSV Format

JW Scheduler currently supports the following Public Speaker fields only. The fields must be named exactly as below (not case sensitive)

  • FirstName
  • LastName
  • Email
  • PhoneHome
  • PhoneCell
  • PhoneWork
  • Privilege (either E or MS)
  • AwayFrequencyPeriod (a number)
  • AwayFrequencyType (either 0 for weeks or 1 for calendar months)
  • PublicNotes

Import Public Speakers & Public Talk Schedule from Majestic KHS

It is possible to import Public Speakers and your entire Public Talk Schedule from Majestic KHS.

Note: These instructions assume you are already using JW Scheduler, but your Public Talk Coordinator is using KHS. If you are not yet using JW Scheduler, please see Import Congregation from KHS instead.

Export from KHS

  1. Update KHS to version 16.40.1 or greater
  2. Open KHS > click Data Exchange > select Export to CSV > click Continue
  3. Tick Public Talks > click Continue > click Yes
  4. Select a Folder on your computer to save the files to (e.g. Documents\KHS Export) > click OK

  1. KHS will then close and re-open.
  2. Write down or remember the following KHS values:
    • KHS > Settings > General > Date Format
    • KHS > Public Talk > Host > Host Type
  3. You can now close KHS
  4. Open File Explorer and navigate to the folder above. You should now see many CSV files there. If not, you did not Export correctly, or you saved the files to a different folder.

Import into JW Scheduler

  1. Open JW Scheduler
  2. Create a Backup of your Data
    • Note: See Backup All your Data
  3. Click Congregation > Neighbor Congregations and Public Speakers
  4. Under From your Congregation using JW Scheduler, click from Majestic KHS
  5. Select your KHS settings
    • Note: The Date Format is very important! This value must match your KHS > Settings > General Date Format
  6. Click Import

  1. Select the Folder where you saved the received data in Export from KHS > Step 4 above
    • Note: You need to only select the Folder, not the files. No files will shown
  2. Click Select Folder

  1. Click Congregation > Neighbor Congregations and Public Speakers
  2. Select the congregation to Export
  3. Click Export
  4. Click to JW Scheduler file
  5. Choose a folder on your computer to Save the file to
  6. The Public Speakers will then be exported. Send this file to other congregations.
    • Note: Public Speaker Sharing can automatically share and synchronise all Public Speakers in the whole circuit.

For Congregations not using JW Scheduler

  1. Click Congregation > Neighbor Congregations and Public Speakers
  2. Select the congregation to Export
  3. Click Export
  4. Click either to PDF file or to CSV file
  5. Choose a folder on your computer to Save the file to
  6. The Public Speakers will then be exported. Send this file to other congregations.
    • Note: Public Speaker Sharing can automatically share and synchronise all Public Speakers in the whole circuit.
