Public Speaker Sharing Requests

JW Scheduler Public Speaker Sharing allows you to share your local Public Speaker information with nearby congregations, as well as Send and Receive Requests for Public Speakers directly from within JW Scheduler.

Public Speaker Sharing has been designed to be fully integrated with existing JW Scheduler Public Talk Scheduling, which means you can easily schedule some congregations manually, and some via Public Speaker Sharing.

To access Public Speaker Sharing, click Congregation > Public Speaker Sharing

Request a Public Speaker

Note: Requesting a Public Speaker from a Shared congregation is very similar to scheduling a Public Speaker from a non-shared congregation. See Schedule – Public Talks Local for more information.

  1. Click Schedule > Public Talks – Local
  2. Select the week you want to schedule
  3. Click Public Speaker
  4. Select the Congregation
    • Note: You can also filter by Circuit.
    • Note: If the Congregation is Shared, a “shared” symbol will appear, and you will be able to make Public Speaker Requests with this congregation.
  5. Select the Public Speaker
    • Note: His Availability will then be shown. You can only schedule a Public Speaker who is available for that week. Click Availability for more detailed information about his availability.
    • Note: To set your local Public Speakers Away Frequency, see Member – Assign.
  6. Select an Outline
    • Note: You can also filter by Selected Speaker Can Give to show only talks that he can give.
  7. Click Send Request
  8. Verify the information is correct, and optionally add a message for their Public Talk Coordinator.
  9. Click Yes
    • Note: Your Request will be sent, and the Request Status will change to Requested. Click Request Status for more information about your request.
  10. Click OK to return to the Schedule view.
    • Note: If you click OK without sending a Request, you will receive a warning. You should always send a Request to any Shared Congregations before clicking OK.
    • Note: You will notice your request is orange, which indicates Requested. If you request is Approved, it will turn green. If your request is Denied, it will disappear from your schedule.
    • Note: Only Approved Requests will be printed on the Public Talk Schedule and show on the JW Scheduler App.

View all your Sent Public Speaker Requests

Sent Public Speaker Requests are fully integrated into your Local Public Talk schedule, and show in a different colour depending on the Status of your request. However, Cancelled and Denied requests are automatically removed from your Local Public Talk schedule.

Each time JW Scheduler is opened, it checks for any new or updated Requests. To refresh, close and re-open JW Scheduler.

  1. To see a list of all Sent Public Speaker Requests, click Congregation > Public Speaker Sharing > Requests Sent
  2. Each Request is colour coded by the Status of the request, you can also Filter by Status.
  3. After selecting a Request, you can:
    • Go to Request – Takes you to Schedule – Public Talks Local and opens your request.
    • Request Details – Shows details about the Request, including any Messages from the Public Talk Coordinators.
    • Cancel Request – Cancels your request and removes it from the Local Public Talk Schedule. You can also Cancel from within Schedule – Public Talks Local.

Handle a Received Public Speaker Request

Note: Handling a received Public Speaker Request from another shared congregation is very similar to scheduling a request from a non-shared congregation. See Schedule – Public Talks Away for more information.

  1. Click Schedule > Public Talks – Away
  2. Local the Public Speaker and Date the request was for
    • Note: This will be shown in orange.
    • Note: You may find it easier to first View all Received Requests (see below), then click Go to Request.
  3. Click Public Speaker Request
  4. Click Approve or Deny
  5. Verify the information is correct, and optionally add a Message for their Public Talk Coordinator.
  6. Click Yes.
  7. Click OK to return to the schedule view.
    • Note: An orange request means Requested. If you Approve the request, it will turn green. If you Deny the request, it will disappear from your schedule.
    • Note: Only Approved Requests will be printed on any Away Public Talks Reports and show on the JW Scheduler App.

View all Received Public Speaker Requests

Received Public Speaker Requests are fully integrated with your Away Public Talk schedule, and show in a different colour depending on the Status of your request. However, Cancelled and Denied requests are automatically removed from your Away Public Talk schedule.

Each time JW Scheduler is opened, it checks for any new or updated Requests. To refresh, close and re-open JW Scheduler.

  • Note: The amount of pending Received Requests is shown next to the menu item Public Speaker Requests in orange, for your convenience.
  1. To see a list of all Received Public Speaker Requests, click Congregation > Public Speaker Sharing > Requests Received
  2. Each Request is colour coded by the Status of the request, you can also Filter by Status.
  3. After selecting a Request, you can:
    • Go to Request – Takes you to Schedule – Public Talks Away and opens your request.
    • Request Details – Shows details about the Request, including any Messages from the Public Talk Coordinators.
    • Approve Request – Approves the request. You can also Approve from within Schedule – Public Talks Away.
    • Deny Request – Denies the request and removes it from your Away Schedule. You can also Deny from within Schedule – Public Talks Away.
